The challenge
A legacy monitoring platform – slow to update and limited in integration – created bottlenecks for consumables, device insights, and service response. Mediaform trialed HP Smart Device Services (HP SDS) and quickly realized that the deeper, end-to-end integration they needed would be best achieved by adopting the platform underpinning HP SDS: MPS Monitor.
“Our previous solution provided basic information such as device status and toner alerts, but as our business grew, we needed something more sophisticated”, recalls Liam Matthews, Sales Director, Mediaform.
Adopting MPS Monitor
Mediaform selected MPS Monitor for its intuitive interface, robust API/SDK ecosystem, and seamless data migration – enabling a fully integrated model across ERP and help desk systems.
A phased approach ensured data integrity and zero downtime. The team bulk-uploaded customers and devices, then ran old and new systems in parallel for about 3 months to transition cleanly.
“Migrating thousands of devices could have been complex, but the process with MPS Monitor was impressively straightforward”, said Liam Matthews.
Mediaform began realizing results even before the migration was complete. Among the early wins were:
- Automated consumable management: MPS Monitor alerts now trigger sales orders in Mediaform’s ERP system, matched to warehouse inventory—improving accuracy and freeing staff for higher-value work.
- Proactive service at scale: Predictive analytics from HP SDS integrated with the help desk platform cut reactive break-fix calls by 80%, reduced on-site visits, and improved customer satisfaction.
- Outstanding partner support: Ongoing collaboration with MPS Monitor Asia ensured smooth optimization throughout the process and established a productive partnership adapting to evolving business needs.
- Future-ready growth: Mediaform is converting around 4,000 unmanaged devices into managed contracts and expanding to 12,000–14,000 devices; they’re also exploring Zebra label printer monitoring and alignment with HP’s Workforce Experience Centre initiatives.
